Schools that place pupils with you want to know how their day went. Many alternative provision settings send an update every afternoon, which usually means someone typing a string of emails before home time.
PupilDB’s new daily log turns that into one short job for staff and one quick check for a lead.
Staff record the day
For each placed pupil, staff record:
- engagement from 1 to 5, from reluctant to fully engaged
- how the day went, in a sentence or two
- what went well, if anything stands out
- notes for staff, which stay inside PupilDB and are never sent
The day’s attendance from the register sits alongside, so the report and the register tell the same story.
A lead checks, then sends in one go
The day’s list shows every placed pupil, who commissioned their placement, their engagement and where their report is up to: not started, ready to send or sent. A lead opens any report to see a preview of the email exactly as the school will receive it, and changes anything that needs changing.
When everything is ready, Send recorded logs emails every report to each placement’s contacts: the commissioning school, the local authority, a social worker or whoever else is on the placement. Contacts don’t need to sign in; it’s an email.
Counts, never details
A report can say how many incidents and rewards a pupil had that day, never what happened. Anything a school needs to know about an incident is shared in the way your policy sets out.
A record of what was sent
Once a report is sent it’s locked, with a record of who it went to and when. If a school asks what they were told last Tuesday, the answer is there. Each pupil’s record has a Daily log tab showing the last 30 days, and the dashboard shows how many of today’s logs are recorded and sent.
How PupilDB helps
The daily log is included in every PupilDB plan at no extra cost. It uses the contacts on each placement, so the right people get the right reports. If you’d like to see it with fictional demo data, book a demo.
