What is MIS (Management Information System)?

Also known as: management information system, school MIS, pupil database

An MIS (management information system) is the software a school or education setting uses to store and manage pupil and staff information, such as contact details, attendance registers, needs, timetables and reports. Large schools usually use a full MIS; smaller settings may use a simpler pupil database.

An MIS is the central record for a school. It typically holds pupil details, family contacts, medical and special needs information, attendance, timetables and staff records, and produces reports for leaders, local authorities and the government. In England, the Department for Education expects schools to keep their attendance and admission registers electronically in an MIS, which makes it easier to share and analyse data and make statutory returns.

Mainstream school MIS products are built around statutory tasks such as the school census and common transfer files. That can make them more complex and expensive than a small alternative provision provider, tuition centre or independent special school needs. Many smaller settings instead rely on spreadsheets, which are hard to keep secure and up to date.

Why it matters for your setting

  • A single, secure system reduces the risk of lost or out-of-date information about vulnerable children.
  • Commissioners and inspectors expect you to produce accurate attendance and pupil information quickly.
  • Any system holding pupil data must meet UK GDPR, including security, access control and sensible retention.

How PupilDB helps

PupilDB is a simple pupil database for smaller settings, covering pupil records, a multi-centre timetable, registers built from it and ready-made reports. It does not do statutory returns such as the school census or CTF today; those are on our roadmap.
